Travel arrangements for annual conference 2016 in Rotorua
Please note that arrangements put in place for 2016 will mainly remain the same as they were for 2015.
Airport transfers update
For those members travelling to conference by plane and who have had their travel booked by NZEI we have hired the services of Reesby's buses to transport our large groups of delegates to and from the airport for Annual Conference 2016.
Be sure to check the flight number of the aircraft flying in to or out of Rotorua as this will tell you what service you need to use to transfer to the Rotorua Energy Event Centre or return to the airport.
The following bookings have been made:
Sunday 25 September – pick-up Rotorua Airport
- 9.15AM Wellington Charter - 50 Seater
- 9.30AM NZ8741 – 19 Seater
- 11.40AM NZ8590 – 36 Seater
- 12.00PM NZ5864 – 50 Seater
Wednesday 28 September – pick-up Rotorua Energy Events Centre
- 12.00PM Christchurch charter passengers only – 50 seater
- 2.00PM – 50 seater for those on NZ8631 & NZ5604 (first in, first served)
- 4.00PM – 50 seater for remaining delegates on NZ8631 & NZ5604
If you wish for your bag to be transferred to your hotel on Sunday or to the Energy Event Centre on Wednesday you MUST attach a coloured luggage tag.

Special 2016 arrangements:
As in 2015 Air New Zealand scheduled flight services in and out of Rotorua are
problematic for our members travelling from the South Island branches and
Wellington. The outcome being those
representatives would not be able to arrive in time for the opening ceremony on
27 September and would have to leave prior to closing on 30 September.
remedy this NZEI will be chartering a flight from Wellington leaving 8.00am
Sunday 25 September 2016 which will accommodate Wellington delegates, and
Invercargill delegates who will need to travel up to Wellington on Saturday 24
September. The remaining South Island delegates will be on scheduled flights for
Sunday 25 September.
to the South Island on Wednesday 28 September are also not scheduled in our
favour. Therefore there will be a charter flight from Rotorua to Christchurch
at 12.35PM on Wednesday 28 September. This will carry Christchurch and
Invercargill delegates. If full entitlement numbers are met, South Island
observers will be required to catch an 11.55AM flight from Rotorua to
Christchurch, and then a connecting fight to their home cities. The remaining
South Island delegates will be on scheduled flights for Wednesday 28 September.
There will not be a charter flight from Rotorua to Wellington on Wednesday 28
September. Instead, all Wellington delegates will be on two scheduled flights.
observers are only eligible to attend when the Branch or Aronui Tomua they are
associated with has a sole representative.
Air Travel costs for such observers will be invoiced back to the Branch
or Aronui Tomua concerned.
costs for travel from a representative’s home to the nearest airport and return
will be reimbursed by National Office following completion of a travel claim at
Annual Conference. Such travel costs for observers should be reimbursed by the
Branch or Aronui Tomua concerned.
Please note that the air travel
booking process is activated by National Office receiving notification of who
is representing your branch at Annual Conference 2016. The sooner this is done
then the more quickly we can allocate your flights to and from Rotorua
TRAVEL TO ROTORUA FROM YOUR HOME BASE
The following will be entitled to have
their air travel to and from Rotorua arranged
by and paid for by National Office:
- All representatives and official observers from SOUTH ISLAND Branches, Aronui Tomua and Area Councils.
- All Branches making up Te Taitokerau Area Council area, plus those Aronui Tomua formerly part of Te Taitokerau Area Council but now part of Te Pipiri Mananui o Nga
- All Branches and Aronui Tomua making up the Taranaki Area Council area, plus representatives of that Area Council
- Representatives from Branches, Aronui Tomua, and Komiti Pasifika making up the Wellington Area Council, plus representatives
of that Area Council.
The following will be entitled to have
their personal use of a motor vehicle reimbursed at 58c per kilometre for
return travel from their home to Rotorua:
- Representatives from
Branches, and Komiti Pasifika making up the Auckland Area Council and
Counties-Manukau Area Council, plus representatives of that Area Council, plus
those Aronui Tomua formerly part of the Auckland Area Area Council but now part
of Te Pipiri Mananui o Nga
- Representatives from Branches and
Aronui Tomua making up the Waikato Area Council, plus representatives of that
Area council, plus those Aronui Tomua formerly part of the Waikato Area Council
but now part of Te Pipiri Mananui o Nga
Representatives from Branches and
Aronui Tomua making up the Bay of Plenty Area Council, plus representatives of
that Area council. plus those Aronui Tomua formerly part of the Bay of Plenty
Area Council but now part of Te Pipiri Mananui o
We’re aware that some branches intend travelling by motor coach or mini-bus – a great idea. Such arrangements are the responsibility of individual Branches/Aronui Tomua & Area Councils.National Office will contribute to the cost of such hire, provided approval has been sought prior to hiring. The following will be entitled to select the most convenient mode of travel, depending upon their location, (i.e. distance from Rotorua).
- Representatives from Branches and Aronui Tomua making up the Te Haunui Central Area Council, plus representatives from that Area Council.
- Representatives from Branches and Aronui Tomua making up the Central East Area Council, plus representatives from that Area Council.
Representatives from these Area Council regions who are seeking air travel to Annual Meeting in Rotorua are asked to contact firstname.lastname@example.org. Otherwise it will be assumed that representatives and observers will be making their own travel arrangements by road.
